Why Your Chaos Is Costing You Clients and Revenue

May 04, 20266 min read

Many coaches and service providers focus heavily on branding, marketing, and selling high-ticket offers, but overlook what happens after someone becomes a client. In most cases, it’s not the sales strategy that’s the problem… it’s the chaos in their backend delivery, structure, and customer experience that causes clients to drop off.

Why Clients Don’t Stay (Even When They Buy Into You)

Stop losing clients to your chaos!

You might think it’s cute, on brand… part of who you are. And maybe clients who don’t like your chaos just aren’t a fit, fine.

But honey, you wanna back your rates. You wanna actually be able to call in the high level clients you know you’re capable of holding.

Then eventually you have to up your game.

Cos charging thousands and having zero structure is gonna annoy people. End of story.

And you’re not entitled to people continuing to hand over their money just cos of vibes and energy.

That plays one part. But it’s not the full picture. We’re world building here.

When you invite someone into your world, there has to be reasons for them to stay.

What High-Ticket Clients Actually Expect

If you want people to enjoy being in your world then they need to feel held, looked after, safe. Like the container you’ve invited them into is going to allow them to unravel in the ways they need to.

An alluring brand and fancy marketing does not make up for poor delivery. It might bring the people in.

But what happens after?

When there’s no structure for their container.

I’ve cancelled coaches for this exact reason. And maybe systems are more important to me cos it’s what I do. But I imagine others would also feel like something is off and just not quite be able to put their name on it.

They might stick around for a bit, but eventually start to wonder if the space is right for them.

The Difference Between Sales and Delivery

A lot more people are becoming more discerning about who they hire, and taking more time before leaping into things.

Too many people have been burnt by the industry and are making sure they do their due diligence.

Doesn’t mean people have stopped buying and investing.. it just means they’re starting to see beyond the shiny facade.

They’re asking better questions. And doing more research to know what they’re actually committing themselves to.

I’ve joined up with coaches who had it all on the front. Gorgeous, mystical brand. Great sales page. Excellent pitch on the call..

They took my money..

Then….

No follow through. I’m all for self responsibility, but it should not be up to me to chase you to find a way to book my calls.

There was a calendar link for the sales process. But suddenly nothing for our actual mentorship calls.

When “Chaos Energy” Becomes a Business Liability

Apparently we’re just gonna wing it. And when you throw in time zone differences that turns into chaos.

I had one mentor who after 6 weeks together, we still hadn’t even managed to have our first call. And it was meant to be a 4 month container with bi weekly calls. I asked to change one, then she last minute cancelled the next one on the day it was meant to happen..

Then we couldn’t find a suitable time due to our schedules and time zones.

What was sold as this luxurious, high touch mentorship experience, didn’t even have the basic call structure set up.

When I expressed my frustration and asked to cancel.. I was told I had already received a big energetic exchange (an email with a bunch of recordings from old courses that required no personal effort for me and a few Telegram messages) so no refund would be available.

Lesson learned for me in asking better questions during the sales process.

It’s not the only time I’ve bought into something, only to receive something entirely different behind the scenes.

What a Well-Structured Client Journey Looks Like

Fast forward to now and I’ve signed up with a no fluff business coach.. from the minute I signed up I was invited into a portal full of resources.

There was contracts for me to sign. Audit docs to complete.

There’s a timeline for when things can occur. If I want to submit things for review there’s a process in place.

Our calls are scheduled in advance through a booking link.

There’s a checkin required to be completed before every call, or it doesn’t happen.

My nervous system feels so relaxed because I know I’m really well supported.

And let me tell you... she’s charging a LOT less than a lot of these “high ticket” mentorships I’ve joined in the past.

Her clear boundaries and standards are helping me to clean up my own. Recognise where I’ve been operating out of chaos, habits collected from years of working with spiritual business coaches.

Even though I knew it wasn’t truly serving.

Why Systems Matter More Than Energy or Aesthetics

Sometimes the allure and magic is enticing.. but is it enough?

In my experience, it will allow you to get so far, but eventually you’re gonna have to confront your systems.

It might mean stepping back from clients for a bit while you do it, being willing to invest knowing the ROI will come at a later stage, but in the long run it will be totally worth it.

If you’re charging at a high level and you know your backend doesn’t match that yet… it’s probably time to clean it up.

That’s where I come in.

How I Help Coaches Fix Their Client Experience

I help visionary leaders turn messy businesses into profitable ecosystems. Client experience includes everything from onboarding, communication, scheduling, delivery structure, expectations, and post-purchase support. It is not just the quality of your work — it is the container that holds your work.

At some point you have to recognise that your chaos is likely costing you the clients you know you want to be serving.

If you say you want clients who will pay you, who will show up, who will bring higher standards… then you have to admit where you’re own standards aren’t allowing for that to happen.

To be a match for the space you say you want to hold and to call in the clients you know you’re capable of serving, generally requires some deeper digging to look at allll the ways your systems and backend aren’t allowing for that level of responsibility.

You can keep playing a smaller game… keep pretending you’re ok with things staying as they are… but I’m sure you know inside that’s not true.
