Why Visionary Founders End Up With Messy Tech Stacks

May 09, 20267 min read

Most visionary founders don’t set out to build complex, fragmented tech stacks. They set out to help people, share their gifts, and create impact. But without a systems-first approach, businesses slowly evolve into layered ecosystems of disconnected tools, manual processes, and hidden operational chaos that becomes harder to manage over time.

Why Most Visionary Founders Don’t Think About Systems

Over the years I have worked with many magical, spiritual, witchy, creative, visionary business owners.

I’ve had front row seats to what goes on behind the scenes and let me tell you, a lot of the time it’s a total mess.

The outward reflection — beautiful branding, perfect packaging, strong messaging — does not reflect the chaos that’s happening in the backend.

The reason for this — most business owners don’t actually intend to “start a business”.

They want to help people.. heal people.. inspire people..

They connect with modalities that have supported them in their own healing journey, and then they begin to realise they could be sharing this with others too.

They’re very good at what they do.

They have special gifts, endless qualifications… but they’re usually not business savvy or systems minded and that’s where things can start to fall apart fast.

Or... they manage to get by with makeshift processes that have been haphazardly pieced together over the years, with little thought of the bigger ecosystem.

How Online Businesses Accidentally Build Fragmented Tech Stacks

It generally goes a little something like this...

They need a way to collect payments. So they sign up to Stripe. Maybe they’ll go a little bit further and use a cart checkout platform like Moonclerk or Thrivecart.

Then they realise social media isn’t enough to lead people through their sales process.

So they’ll maybe create a one-pager in Google docs or Notion.. maybe go a bit fancier with a Canva site.

Or if they decide they want to look a bit more professional they’ll get a domain and go with a landing page or funnel platform. This is usually where Clickfunnels or Leadpages enter the mix.

Or perhaps a Wix, Squarespace, or Showit site.

Then they realise they need emails. So now they’re in Mailchimp or Flodesk.

Then they launch a course. So it’s singing up with Teachable, Learnworlds, or Thinkific.

Now they want a community outside of a Facebook group. So they look to Mighty Networks. Skool. Circle.

Then they're hosting events, live sessions, online calls. So they need a booking system... Calendly or Acuity.

Maybe they want someone to fill out an application to determine if working together is actually a fit. Or create a fun quiz to invite in leads. So it’s Google Forms, Typeform, or Interact Quizzes.

Now none of the programs are effectively communicating with one another. So of course, Zapier enters the equation.

The Tools Most Businesses Add Over Time

  • Stripe payments

  • Checkout systems (Moonclerk, Thrivecart)

  • Landing pages or funnels (Clickfunnels, Leadpages)

  • Email marketing tools (Mailchimp, Flodesk)

  • Course platforms (Teachable, Thinkific, Learnworlds)

  • Websites (Wix, Squarespace, Showit)

  • Communities (Skool, MightyNetworks, Circle)

  • Scheduling tools (Acuity, Calendly)

  • Forms (Typeform, Google Forms)

  • Quizzes (Interact Quizzes)

  • Zapier automation

Why “Reactive Systems” Create Long-Term Problems

Everything is built reactively to serve one purpose, rather than thinking about the entire customer journey and bigger vision.

Before you know it, the business is split across 100 different platforms, none of them integrated well, so there’s a lot of manual handling.

The journey is totally fragmented...

You’re paying for overlapping features because you didn’t realise three different tools all do the same thing.

You’re constantly managing steps to make sure nothing gets missed in the process.

You’re logging into multiple systems just to complete one task. Manually transferring information between platforms.

And most of this is being done from memory — no clearly documented SOP to get it out of your head.

Every time your business evolves, it creates another quick fix. You think you’re choosing the path of least resistance. Focusing on the thing that’s creating tension now, putting out little fires, but not thinking about the extra work it creates every time you introduce another tool.

The Hidden Cost of Tool Overload in Your Business

Isn’t that exhausting? How much time and energy is spent IN the day to day operating of the business, when those precious hours could be going towards working ON the business — big picture thinking, creative vision, expansion, better customer nurturing, delivery, and satisfaction.

How much more thrilled would you be about your business, if you actually got to focus on the things you genuinely love doing?

And got to put the majority of your energy towards all the reasons why you got into it in the first place.

It’d be a dream, right?

But most people are building based on immediate need.

Asking ineffective questions...

  • “What’s the cheapest option for this thing right now?”

  • “What will solve today’s problem?”

Without zooming out and asking:

  • What am I actually building here?

  • What kind of business do I want to run long term?

  • What kind of customer experience do I want people to have?

  • What happens when this grows?

  • Can this setup actually support the future version of my business… or am I going to outgrow it in 12 months and have to rebuild everything again?

This is also the part where people tend to fixate on the least important things.

They cut corners and costs on things that will genuinely make a difference and invest in areas that make them feel good instead.

Thinking things like... I just need to make my brand look better... post more content... bring more people in... have a better marketing strategy. Do another photo shoot.

Or, I’m so burnt out from doing it all... I’ll just hire out. Get a VA to do the manual things. Get someone to handle social media.

It’s a lot of aesthetic relief, but still isn’t considering the bigger picture...

Eventually the glamour magic fades and won’t make up for a messy backend.

The True Cost of Constantly Adding New Tools

And what’s the real cost when all that outward projection doesn’t match what’s happening behind the scenes? When the mirror starts to crack and the illusions start to fade?

You might think it’s better to save money by choosing the cheapest platforms…

But, have you actually considered what each of those platforms cost when added up?

Have you thought about the cost of migrating your entire business to a new system every time you outgrow it?

The cost of broken automations, unhappy clients... all the time rebuilding funnels, pages, email sequences and customer journeys.

The mental load of trying to remember every single manual thing you need to do to.

The cost of hiring someone to come in and clean up the mess later because it became too overwhelming to manage yourself.

Throw in the emotional turmoil you’re going through with how embarrassed you feel about it all.. so you avoid and put this off even longer.

This is usually the point where people doom spiral. Think maybe they’re just not cut out for business. Consider burning it all down.

See it as a reflection of their skills. Start comparing to others. Wonder why they’re just not getting it.

But it’s not a personal failure if you were never taught about business..

The Difference Between Reactive and Intentional Systems Design

You didn’t get into this to be building systems and worrying about tech... and you've managed to get far enough with your magic and magnetism.. so it makes sense why these are the parts you would avoid and put off.

But.. having these things implemented will sure make your life and business run a whole lot smooother.

So if you’re currently sitting inside a business that feels fragmented, chaotic, overly dependent on you, or it’s all just becoming way too much to hold!

Then know, you don’t have to keep figuring it out alone. This is the work I do.

I help visionary founders zoom out, untangle the mess, and build business ecosystems that don't just look at their current reality, but actually support the future they’re trying to grow into.

We’re not just talking prettier businesses, but stronger ones that can actually hold you and support you to do what you came here to do.

Because when your infrastructure is intentional, integrated, and built properly… everything changes.

Your capacity expands, delivery deepens, client experience strengthens, and your nervous system softens. Because you finally have space to focus on the work you know you’re here to do.

You know you came here to achieve BIG things.. you've got audacious visions and dreams, you can feeelll how magical this could all be... so wouldn't you like to have a business infrastructure that can support you to do just that?!
