Client boundaries blur, backend systems become messy, and resentment builds beneath the surface. This is what happened when I realised my business growth was no longer being supported by the systems, structures, and standards behind it.

Have you ever reached that point in business where you just want to tear your hair out... and burn it all down?

I have... many times!

It’s usually when it feels like everyone is crossing my boundaries, not appreciating what I do, expecting way too much compared to what they’re paying me etc.

The problem is, this is usually also because I haven’t established these things from the get-go and then I get annoyed at everyone for not sticking to some standards I never even let them know about.

I got to that point again recently, and after firing most of my clients, I realised it’s time I do something differently.

Why Backend Systems Affect Client Relationships

My business has worked relatively well over the years. I’ve never had an issue bringing on clients. When I’m ON, I always have income coming in.

I’m great at what I do. I go above and beyond to bring a client’s vision to life... I know exactly how to identify their bottlenecks, improve their systems, make their lives easier...

Often to my own detriment.

A classic case of do as a I say, not as I do.

Short term financial pressure tends to win and that has led me to make poor decisions – onboarding clients too quickly, breaking my own rules, not letting them know what I need from them in order to work best.

So, after another bout of building resentment, and wanting to throw in the towel, I finally reached out to a coach.

I knew I needed to look at my own offers, systems, and processes..

But it’s different with your own because you can be so emotionally invested and blind to all the things that are keeping you stuck.

Being able to DO the things has never been an issue for me. It’s just getting lost in WHAT to do... looping in indecision.

Pricing and offers have been my main source of confusion.

Unable to trust myself.. knowing what I wanted to do, but kind of just wanting permission. Someone to say YES, stop playing so damn small and do what you know you’re capable of.

Why I Finally Rebuilt My Business Systems

And if you’re gonna do it, then you need to take a step back and set the things up properly.

Stop rushing into client work and clean up your own backend.

Soooo that’s exactly what I’ve been doing these past few weeks and gosh it feels gooood!

It hasn’t been without a whole lotta discomfort too. Sitting in that in-between phase. Shedding old roles and identities, and stepping into the level I know I’m here to play out.

Holding my ground in moments where old me would’ve jumped to say yes, because it would be too uncomfortable to let someone else down.

Cleaning up all the loose ends within my business. Deleting confusing offers that don’t make sense. Establishing one clear pathway for everyone to follow.

A clear customer journey (thanksss to my coach for helping me see exactly how to piece it all together in a way that flows)

Setting up the templates, email sequences, contracts, and automations.

Getting clear on my message. Creating content that actually speaks to this consistently. Even if I feel like a broken record.

Getting clear on the measures I need to track. Not just in project deliverables – but time and energy spent thinking about client scenarios, communicating with them, researching what will suit their business best, explaining and documenting processes, waiting on them to review and get back to me... all the in between pieces that rarely get considered when they’re only looking at the final result.

The Difference Between Being Skilled and Being Structured

I’ve always known I should be charging higher rates for what I do, but because I’ve been so bad at keeping data, it’s been hard to think about it strategically without getting emotionally charged.

And every hour I put a client’s projects before my own desire to clean up my systems, I could feel the resentment building.

Cos how could I justify charging higher rates when I didn’t feel like I was operating at the level I knew I wanted to be?

If my own systems were a mess...

What hope did I have of establishing my authority?

I could talk about it ‘til the cows come home, but if I’m not EMBODYING what I’m preaching, then how does that look?

For too long, I’ve fallen for the “just put stuff out and figure it out after” approach... and yes there’s merit to that.

Get over perfectionism. Don’t waste time building things people don’t want.

But I’m a systems girl, it clearly makes sense to have my own house in check.

I have enough evidence I can create success through force and skills… but I no longer want success that depends on self-abandonment.

I don’t want to be taking on other people’s urgency and poor planning as my own.

And the way to call in the clients that will show up with these standards, is to hold them for myself first.

To build structures that support the level of care, depth, and quality I know I’m capable of bringing to my work.

What I Changed in My Business Backend

Since stepping back from clients I’ve been rebuilding the foundations properly instead of just putting out fires as I go.

  • Clear offer pathways: Cleaned up my offer suite and established a clear pathway everyone has to follow to work with me

  • Paid consultation processes: Stopped offering calls for free – you might think it’s just picking my brain about something simple, but it’s yearssss of me studying and building this stuff that makes it come so naturally. That is not something I’m taking lightly anymore.

  • Standard rates: Stopped offering discounts on my services to meet clients where they are.

  • Contracts and working agreements: -Templates for quotes & proposal docs, working agreements, contracts. Work does NOT start until these are read and signed. And first payment is received.

  • Client onboarding systems: Established clear onboarding processes. Set up all my welcome emails, calendar booking links, payment links etc.

  • Internal SOP's and checklists: Created checklists for my internal processes, and ones for clients to complete before our work commences

  • CRM workflow tracking: Set up my CRM dashboard to track client work effectively.

  • Website SEO optimisation: Updated all my website pages to actually speak to what I do, went through every page to set up my SEO. Connected my blog and started copying all my most relevant, thought leadership pieces over to it so I can keep ranking for my keywords.

Why Better Systems Increased My Confidence

It’s not the most glamorous work to most people, but it’s a good thing I LOOVE doing it...

Which is why I’m so well suited to be doing it for others. Anddd just to prove taking the time to do this stuff works..

Giving my backend the facelift it deserved, has given my inner world so much clarity and confidence.
