The thing most people don’t realise is how much their mismatched platforms are actually costing them.

So many people choose platforms to solve one problem as it surfaces, and generally look at the cheapest option to sort out that need, rather than looking at the entire vision.

They have a problem, they seek a solution.

  • I need to send emails, what’s an email marketing platform?

  • I need to create a funnel, what’s the best tool?

  • I need to send proposals, invoices etc, where should I do that?

  • I want to create a course or membership, where’s the best place to build it?

The problem with this approach is everything is being loaded on with very little consideration for the full picture.

And people think they’re getting the best price then quickly realise the platform they chose has all these add ons and hidden costs. What you thought was a lean monthly price is very quickly adding up with all the different tools you keep signing up for.

Not to mention the mess it’s making because nothing is communicating properly.

Let’s take a look at some of the tools you might be using in your business..

Website Platforms:

Average cost for a real small business website (custom domain, a blog or booking page, nothing fancy on the ecommerce side).. is somewhere between $20 and $40per month for the platform itself, but as soon as you start adding in extra features you’re looking more like $150 monthly. WordPress can be lower if you're happy DIY-ing your own hosting and plugins.

Email Marketing Providers:

The actual average cost for a list of 1,500-5,000 contacts is somewhere between $50 and $150 per month, if you actually want automation and not just a glorified send button. Less if you're on Flodesk's stripped-back plan. And a lot more if you’re using a full CRM like Keap or ActiveCampaign.

Lead Generation Tools:

Lead gen tools vary. If you just need an email address, Google Forms and Typeform's free tier cost nothing, or a fun quiz you can get that for $39 per month but most people who use quizzes are doing this on top of other funnel tools. For anything more complex like funnels, and landing pages you’re looking at anywhere between $99-$297 per month.

Course & Membership Site Platforms:

A lot of these platforms used to have free tiers and no longer do, but most have trials. Usually the trials only allow you to test and build, as soon as you go live you activate charges. The advertised price is often not the real price once you factor in the per sale transaction fees. Once you factor that in, a solo creator running a handful of courses without bleeding margin to transaction fees is realistically looking at $50-180 per month for more features.

Calendar Booking Tools:

You may be able to get by with free if you’re just running one event type, but most people I know have multiple services so this is unlikely. The moment you want multiple event types, payment collection at booking, or to drop the 'powered by' footer, you're into paid territory, and that's usually $20+ a month for a solo service business. Some of them also charge per user so if you have multiple team members with calendars to add then that adds up.

Invoicing & Contract Tools:

Worth flagging these four aren't really competitors to each other the way the email or lead-gen tools were. Dubsado and HoneyBook are both full client-management systems, while Xero is pure bookkeeping and Proposify is just proposals. A lot of service businesses run one of the first two alongside Xero rather than picking between them. So full client management through Dubsado or HoneyBook is about $35-$129 a month. Add Xero for the books and that's another $35+ a month on top.

Notice a common thread across ALL these different tools. They entice you in with low costs and then you quickly realise most of the things you need require higher plans.

The True Monthly Cost of a Fragmented Tech Stack

So let’s add this all up, based on the lower spectrum of pricing:

  • Website - $40

  • Email marketing - $50

  • Funnels & landing pages - $99

  • Quizzes - $39

  • Course platform - $50

  • Calendar booking - $20

  • Proposals, invoices etc. - $70

So for the basic elements that most online coaches, facilitators, course creators etc. would use to run their business you’re looking at around $370 per month and that’s on the very conservative side using the lowest tiers for most platforms.

Then factor in all the other little things you might be paying for like:

  • Claude or ChatGPT

  • social media scheduling tools

  • content editing apps

And your monthly costs are quickly adding up.

The Real Problem Isn’t Just Cost

The bigger issue isn't the money. It’s the disconnect between systems.

When your tools don’t communicate, you end up with:

  • Manual admin work that drains your time

  • Extra steps just to move one client through your system

  • Broken automations or unreliable workflows

  • More opportunities for human error
